SUMMARY OF FUNCTION
The main function of the Office Administrator is to maintain the administrative functions of the department’s operations and the Company’s overall in accordance with the guidelines and supervision of the Management.
PRIMARY RESPONSIBILITIES
1) Ensures the effective maintenance of the filing system of the sales & marketing department and any other functions as per the Management’s request.
2) Distributes all the Company’s correspondence efficiently.
3) Prepares and distributes any promotional and information material to clients and associates as per the Management’s instructions.
4) Deals with clients enquiries and informs the Sales and Marketing Manager promptly.
5) Prepares sales, marketing and other reports as well as presentations as per agreed timelines.
6) Prepares and circulates to the sales team the monthly cycle activities and other marketing programs.
7) Upkeep and maintenance of the client database by adding new clients and up-dates information when required.
8) Involvement in the effective implementation of the overall marketing plan and consumer promotions.
9) Participates and ensures the successful organization of clients, press and other events.
10) Undertaking of any other administrative duties of the department
11) Responsible for the insurance contracts and services of the Company’s car/van fleet.
12) Cooperation with all other Company’s departments, in order to facilitate productive information flow and communication.
13) Supports the sales & marketing department in all necessary activities.
Requirements:
· At least 4 years of previous experience preferably in a trading company
· Excellent organizing and communicating skills
· Polite with good telephone manner
· IT Literate with MS Office Applications
· Fluent in Greek and English·
